Projects in Intellent CRM are not isolatedโthey are designed to interact dynamically with several other modules. This integration streamlines workflows, automates follow-ups, and centralizes project-related data.
1. ๐ Link a Project to a Customer #
Purpose: Every project must be associated with a customer. This enables invoicing, support tickets, file sharing, and portal access.
How:
- When creating a new project (
Projects > New Project
), select a customer from the Customer dropdown. - You can create a new customer on the fly by clicking “Add New” in the dropdown if not already in the system.
๐ Result: The customer can view project status, tasks, discussions, and invoices in their client portal (if enabled).
2. ๐งพ Link to Invoices, Estimates, and Proposals #
Purpose: Seamless financial tracking and billing related to a project.
a) Create an Invoice from a Project #
How:
- Go to
Projects > [Select Project] > Invoices tab
- Click “Create Invoice”
- Choose to invoice based on:
- Fixed project price
- Time logs (billable hours)
- Task hours
- Invoice is automatically linked to the project and the customer.
b) Link Existing Estimate/Proposal to a Project #
- Go to
Sales > Estimates
orSales > Proposals
- When creating or editing, use the Project field to associate it with a specific project.
- Once linked, the document appears in the projectโs Sales tab.
๐ Use case: A design agency might attach a signed proposal to a website redesign project.
3. ๐ Link to Tasks #
Purpose: Assign work to team members and track progress inside the project timeline.
How:
- Go to
Projects > [Select Project] > Tasks
- Click “New Task”
- The project is already pre-selected
- You can assign the task to users, set due dates, priorities, reminders, etc.
๐ง Bonus: You can also assign tasks from outside the project module:
- Go to
Tasks > New Task
- Select a project from the dropdown to link it
๐ Result: Task progress contributes to project completion %.
4. ๐ธ Link to Expenses #
Purpose: Track costs tied to a project, and optionally bill them to the client.
How:
- Go to
Expenses > New Expense
- In the Project field, select the project you’re logging the expense for
- Check โBillableโ if you want to invoice this expense later
- Upload receipts or notes for records
๐ Use case: You log a $250 design license fee for a clientโs campaign project and mark it billable.
5. ๐ Link to Timesheets #
Purpose: Record time spent by staff on tasks or ad-hoc work within the project.
How:
- Go to
Projects > [Select Project] > Timesheets
- Click “Log Time” or use the timer
- Select a task (optional), date, time spent, and notes

- Start timers directly from the
Tasks
interface - All time logs from tasks are automatically linked to the project

6. ๐ซ Link to Support Tickets #
Purpose: Keep track of technical or client support issues related to the project.
How:
- Go to
Support > Tickets
- Open or create a ticket
- Choose the customer
- Use the Related Project dropdown to attach the ticket to the right project
๐ Result: Helps support teams understand project context and improves internal coordination.
7. ๐ฌ Link to Discussions #
Purpose: Collaborate internally or with the customer on specific project topics.
How:
- Go to
Projects > [Select Project] > Discussions
- Click “New Discussion”
- Select visibility: Public (customer can see) or Internal
- Add tags or notify team members
๐ Use case: Start a thread called โClient Feedback Round 2โ and collect input.
8. ๐ Link to Files #
Purpose: Share and store documents relevant to the project (contracts, mockups, reports).
How:
- Go to
Projects > [Select Project] > Files
- Click “Upload File”
- Files can be marked as visible to clients or for internal use

9. ๐ Link to Reports #
Purpose: Generate insights from projects based on time, billing, staff contribution, or milestones.
How:
- Go to
Reports > Projects
- Filter by:
- Project name
- Staff
- Time range
- View hours worked, revenue earned, and overdue tasks per project
