Converting Estimate Requests into Leads or Estimates in Intellent CRM

Overview #

Once an Estimate Request is submitted via a public form or embedded widget, it appears in your CRM’s Estimate Requests section. The next step is to qualify the request and either convert it to a Lead, Customer, or directly to an Estimate — streamlining your sales process and reducing response time.

🔁 Step-by-Step: Convert to Lead #

  1. Navigate to Estimate Requests
    • Go to the sidebar > Estimate Requests.
  2. Click on the request you want to convert.
    • This opens the detailed request view.
    • You’ll see all submitted fields, attached notes, and metadata.
  3. Click “Convert to Lead” from the top-right or action buttons.
  4. In the popup:
    • Review and edit fields like Name, Email, Company, etc.
    • Assign a Lead Status, Source, or Tags (e.g., “Estimate Request”).
  5. Click Save.
    • The request is now stored as a Lead in the Leads module.
    • You can track their status, send emails, create tasks, or continue nurturing them.

📐 Step-by-Step: Convert to Estimate #

If you’re confident in the request and pricing details:

  1. Open the Estimate Request you want to work with.
  2. Click “Convert to Estimate”.
  3. The system will open a prefilled Estimate creation form:
    • Customer info will auto-populate.
    • You can add predefined items or custom quote lines.
    • Add terms, validity, and payment info.
  4. Save and optionally send the Estimate to the client.
  5. The Estimate is now found in the Sales > Estimates module and can be:
    • Sent by email
    • Viewed and accepted via the Client Portal
    • Converted to an Invoice upon acceptance

👥 What If the Request Is from an Existing Customer? #

When converting:

  • If the email matches an existing contact or customer, the system will notify you.
  • You can attach the request to an existing profile to avoid duplication.

This is especially helpful for return clients requesting new quotes.
